Administration Support Officer

An exciting opportunity has arisen for a dynamic professional to become an integral part of the Woolcock Clinic administration team. This opportunity will see you responsible for administrative support to the teams, managing patients’ appointment bookings, reception services, and providing excellent support to our specialist clinicians.

Location

This role will be based at the Woolcock’s new premises at 2 Innovation Road, Macquarie Park (within Macquarie University precinct).

Key Responsibilities

Provide administrative support to allied health specialists / clinicians and staff, including scheduling appointment bookings, managing calendars, handling phone calls and emails in a timely, professional, and friendly manner.

  • Manage patient billing, payments, and updating patient records accurately and efficiently
  • Adhere to healthcare standards and maintain patient confidentiality at all times
  • Liaise with our referral networks, patients, and other staff members ensuring clear and effective communication
  • Address clinician-patient inquiries and problem-solve as required
  • Assist the clinic with general administrative duties and other ad-hoc duties as required.

Essential criteria

  • Demonstrated experience in providing administrative and/or office support in a medical / healthcare setting
  • Excellent attention to detail and accuracy
  • Excellent organisational and administrative skills
  • Experience working independently and as part of a team.
  • High level of discretion and sensitivity when dealing with confidential information
  • Exceptional customer service skills 
  • Strong verbal and interpersonal skills
  • Flexible ‘can-do’ attitude to work requirements 
  • Efficient, takes initiative and collaborates well with team members
  • High standards of professionalism and ethical standards
  • Computer literate and MS Office proficiency, knowledge of CorePlus and/or willingness to learn practice management software.
